We treat your information the way we'd want ours treated. This policy explains what we collect, why we collect it, how we use it and the choices you have. It applies to our marketing site, our engagements and the AI voice agents and systems we operate or build for clients.

What we collect

When you engage Kingwest AI Inc. or interact with services we operate, we may collect:

  • Contact details you submit (name, company, email, phone, message content) via the website or email.
  • Information you provide for engagement delivery (call scripts, brand assets, business data, integration credentials).
  • Voice and call data processed by AI voice agents we build for you, including transcripts, recordings (where enabled) and metadata such as caller number, timestamps and call outcomes.
  • Standard web analytics from our marketing site (referrer, pages viewed, anonymised device data) — used only to improve the site.

How we use it

We use the information above to deliver our services, respond to your enquiries, operate and improve our voice agents and AI features, secure our systems, and meet our legal and accounting obligations.

We do not sell personal information. We do not use client call data, transcripts or business data to train general-purpose AI models without explicit, written consent.

Voice & call data

Voice agents we build for clients run on telephony and AI providers (e.g. Twilio, Vapi, Retell, ElevenLabs, OpenAI, Anthropic, Google). Call audio, transcripts and metadata flow through those providers under their terms and any DPA your engagement requires.

Where you (the client) operate a voice agent, you are the controller of the call data and are responsible for any required notices to callers, recording disclosures, and consent under your local law (e.g. two-party consent, TCPA, CASL).

Payments

Payments to Kingwest are processed by Stripe. We do not store full credit-card numbers on our infrastructure. Stripe's handling of your payment data is governed by Stripe's privacy notice.

Sub-processors

We use a small set of trusted sub-processors to operate our services — including cloud hosting, email, telephony, AI providers and payments. A current list is available on request via hi@kingwest.ai.

Retention

We keep personal information only as long as necessary for the purpose it was collected, to meet a legal or contractual obligation, or to defend a claim. Engagement-specific retention windows for call recordings and transcripts are agreed in the SOW.

Your rights

Depending on your jurisdiction (e.g. GDPR, PIPEDA, CCPA), you may have the right to access, correct, delete or port the personal information we hold about you, and to object to or restrict certain processing. To exercise these rights, contact us at hi@kingwest.ai. We will respond within the timelines required by your local law.

Security

We use industry-standard technical and organisational controls — encryption in transit and at rest where supported, principle of least privilege, MFA on critical systems, audit logging — to protect the information we hold. No system is perfectly secure; if a breach affects you, we will notify you in line with our legal obligations.

International transfers

Our infrastructure and sub-processors may process personal information outside Canada (including in the United States and Europe). Where required, we put in place appropriate safeguards (such as Standard Contractual Clauses) for cross-border transfers.

Changes

We may update this policy from time to time. The effective date at the top reflects the most recent version. Material changes will be flagged on this page or notified to active clients directly.
